How to create a job (from a quote or from scratch)

Turn an accepted quote into a job in three taps from the Home screen. For anything else, start a blank job with the + button.

You shouldn’t have to type a job in twice. When a customer accepts your quote, robot Plan asks you three quick questions and makes the job for you, with the quoted items already on it.

From quote to paid

  1. Quote sentText or email the link
  2. AcceptedCustomer e-signs on their phone
  3. Job bookedPick a time and crew
  4. Job doneChecklist, photos, sign-off
  5. Invoice sentBuilt from the job’s lines
  6. PaidCard online with robot Pay

Every quoted job follows the same path. This article covers the middle bit — turning the yes into a job. See How projects, properties, quotes and jobs fit together for the whole picture.

Set it up from the “accepted” card

When a customer accepts, a card drops in on your Home screen: QUOTE ACCEPTED — “[Name] accepted [quote number]”. Tap it and answer three quick questions.

  1. 1
Deposit invoice? Tap Send [x]% to email a deposit invoice straight away, or No.
  2. 2
Schedule it? Tap Pick a time to choose the day, time and crew right there, or Later.
  3. 3
Make it a project? This only shows on quotes over $3,000 that aren’t already in a project. Tap Yes or No.
  4. 4
Tap Done. Once it’s saved, tap Open job › to jump into the job card.
Tip

Picked Later? That’s fine. The job waits under Not scheduled until you book it from the job card or the Calendar.

What goes onto the job

Tapping Done makes the job. It copies the quote’s title, scope, customer and every line the customer accepted. The customer’s address becomes the site address. If the quote sits inside a project, the job goes into that project too.

Good to know

You only ever get one job per quote, so it can’t double up. The card shows to owners, admins and managers, for quotes accepted in the last 30 days.

Start a blank job

Got a call-out, a warranty visit or a small job that was never quoted? Start a job from scratch.

  1. 1
Open Jobs from the Work menu.
  2. 2
Tap the round blue + at the top.
  3. 3
Make sure Job is picked at the top of the New sheet.
  4. 4
Give the job a name, e.g. “Switchboard upgrade”.
  5. 5
Pick a customer, or type a new name to add one.
  6. 6
Add the Site address if you have it. It’s optional, so you can add it on site.
  7. 7
If you have projects or properties, you can link the job to one under Project or property.
  8. 8
    Tap Create job.

Finding your jobs

The Jobs page groups everything so you can see where each job is up to: Working on, Started, Booked, Not scheduled, Completed and Invoiced.

Use the search bar to find any job by name, customer, address or job number.

Tip

Tap Edit at the top of the Jobs page to delete a job. You’ll be asked to confirm first, because deleting a job can’t be undone.
