How to take deposits and progress payments
Send a deposit invoice the moment a quote is accepted, and split bigger jobs into payment stages.
Getting money in before you buy materials protects your cash flow. robot asks about a deposit as soon as a customer accepts, and can split bigger jobs into stages you send as the work lands.
Set your standard payment stages
Your payment schedule is the set of stages every new quote starts with, like a deposit, pre-rough-in, pre-fit off and completion. You can still change it on any individual quote.
- 1Open Settings and tap Quote.
- 2Open Payment schedule.
- 3Name each stage and set its %. Tap + Add stage for more. Aim for a total of 100%.
- 4Tap Save default schedule.
No stages means new quotes default to full payment on completion.
Send a deposit when a quote is accepted
When a customer accepts a quote, a Quote accepted notification drops onto your Home screen. Tap it to set the job up.
- 1Next to Deposit invoice?, tap Send. The % comes from the first stage of the quote’s payment schedule (or 30% if there isn’t one), and the amount is shown underneath.
- 2Choose whether to Schedule it? now or later.
- 3Tap Done. robot makes the job and emails the customer the deposit invoice.
The deposit invoice is separate from the job, so the job’s final invoice stays its own invoice.
Progress payments on projects
For bigger work, run it as a project. When a quote linked to a project is accepted, robot splits the total across the quote’s payment stages and puts one draft invoice per stage in the project, marked Ready to send. They don’t crowd your Invoicing list.
When a stage is reached, open the project, tap that stage’s invoice and send it like any other invoice. Extra work? Tap + Variation in the project’s Invoices section.
For quotes over $3,000 that aren’t already in a project, the Quote accepted notification also asks Make it a project?
