How to take payment on site with Scan to Pay
Show a QR code on your phone. The customer scans it and pays by card, Apple Pay or Google Pay on their own phone.
No card reader, no terminal. When the job’s done and the customer is right there, Scan to Pay turns the job into an invoice and puts a payment QR code on your screen.
Before you start
Scan to Pay uses robot Pay, so set up robot Pay first. If it isn’t set up, robot tells you before anything is invoiced.
The job needs priced lines. Scan to Pay won’t start on a job with nothing to charge.
Take the payment
- 1Open the job and tap Finish job.
- 2Tap Invoice Now. Check the lines, the GST and the total.
- 3Tap Scan to Pay. robot creates the invoice (without emailing it) and shows a QR code with the amount.
- 4Hold your phone out. The customer points their phone camera at the code and pays by card, Apple Pay or Google Pay.
- 5Your screen shows Waiting for payment — this updates by itself. When the payment goes through it changes to Paid with a tick. Tap Done.
Get the customer to sign first if you need a signature. On the How did it finish up? screen, tap Get the customer’s signature first.
What happens after they pay
- The invoice is marked Paid via robot Pay automatically. No need to tap Mark paid.
- The customer gets a receipt.
- The money goes to your bank on Stripe’s normal payout cycle.
If they don’t pay right then
Close the QR screen and the job stays invoiced but unpaid. The job card keeps a Scan to Pay button to bring the code back, and an Email invoice button to send them the invoice so they can pay online later. Both use the same invoice, so nothing doubles up.
