What happens when a customer accepts
How customers accept and sign online, and what robot sets up for you once they do.
The customer can say yes from their phone in under a minute. robot tells you straight away and helps you turn the yes into a booked job and a deposit.
What your customer sees
The customer opens a link to your quote under your logo and business details. They can read every line, untick optional items, and tap Download PDF to keep a copy.
How they accept and sign
Their typed name is their sign-off. robot records the date and time they accepted, and the quote shows as Accepted on both sides.
- 1They scroll to Ready to go ahead?
- 2They check the name next to Accepting as (or type their full name).
- 3They tap Accept quote — or Accept quote & lock in discount if there’s a discount.
You get told straight away
You get a push notification and an email saying the quote was accepted. The quote moves to Accepted in your Quotes list.
Set up the job
A Quote accepted card drops onto your Home screen. Tap it and answer a few quick questions:
- 1Tap Done. robot makes the job — and the deposit invoice or project if you asked for them.
- 2Tap Open job to jump straight to the job card.
- Deposit invoice? — send a deposit for the suggested % or skip it.
- Schedule it? — pick a time now or later.
- Make it a project? — asked for bigger quotes (over $3,000).
If the customer said yes over the phone or in person, open the quote and tap Next steps → Accept for customer.
Xero and ServiceM8
If you’ve connected ServiceM8, the accepted quote is sent across to it.
With robot Plan, invoices stay as drafts in robot’s own Invoices until you send them or mark them paid — that’s when they sync to Xero. On robot Quote, accepting a quote creates draft invoices straight in your connected Xero.
