How to take a deposit on online bookings
Ask customers to pay a deposit through robot Pay before their booking comes through.
A deposit cuts down on no-shows and time-wasters. The customer pays when they book, and it comes off their invoice automatically later.
Before you start
Booking deposits are paid through robot Pay, so set that up first under Settings → robot Pay. Until it’s ready, the deposit option can’t be switched on. See Set up robot Pay.
Turn on deposits
- 1Go to Settings → Online booking.
- 2Tick Take a deposit when customers book.
- 3Enter the Deposit amount (inc GST).
- 4Tap Save changes.
Tap the i next to the option for a quick summary of how deposits work.
What the customer sees
Your booking page shows how much deposit secures the booking. At the last step, the button says Pay $[amount] deposit & send. They pay by card, Apple Pay or Google Pay.
The booking only comes through to you once the deposit is paid. If they back out of paying, nothing is sent and they can fill the form in again.
After it’s paid
- The booking shows ✓ $[amount] deposit paid in your Bookings list.
- When you invoice that job, the deposit comes off automatically as a Deposit received line.
- The money reaches your bank on Stripe’s normal payout schedule. The fee is the same as your invoices: 2.4% + 30¢.
- If a customer starts a booking but never pays, it shows under Recent as Deposit not paid, so you can follow up with a call.
If you decline a booking or can’t do the job, refund the deposit from your Stripe dashboard. Declining in robot Plan doesn’t refund it for you.
